1. Introduction and Purpose

This Acceptable Use Policy applies to all current and prospective users of the translation and language-related services provided through the platform. It defines how the Services may be used, setting out the boundaries of acceptable and lawful use in line with the platform's intended purpose.

The Company has established this Policy to manage and reduce legal, operational, and reputational risks that may arise from misuse of the Services. This includes situations where the platform is used in a misleading, abusive, or inappropriate manner. The Company operates in accordance with applicable laws and applies reasonable safeguards to prevent the Services from being used for unlawful or harmful activities.

This Policy also explains how the Company assesses whether the intended use of the Services is acceptable. It outlines examples of restricted or prohibited use and describes the Company's approach to reviewing user activity where necessary for risk management purposes.

The Company reserves the right to refuse access to the Services, apply limitations, or suspend or terminate access where there are reasonable grounds to believe that the Services are being used in violation of this Policy, where false or misleading information has been provided, or where such use creates unacceptable legal or risk exposure for the Company.

2. Definitions

For the purposes of this Acceptable Use Policy, the following terms are used with the meanings set out below. These definitions are intended to support consistent interpretation of this Policy in the context of the Services.

The "Company" refers to VISICORE AI LTD, a legal entity incorporated in the United Kingdom, which operates the platform and provides translation and language-related services.

A "Client" means any individual or legal entity that accesses or uses the Services, including for the purpose of submitting, managing, or receiving translation or other linguistic outputs.

The "Services" include all language-related solutions made available through the platform, such as translation, editing, proofreading, transcription, subtitling, and any other related services offered by the Company from time to time.

The "Platform" refers to the digital infrastructure operated by the Company, including the website and any associated systems through which the Services are made available and accessed.

"Prohibited Business Activities" refers to any use cases, industries, or types of activity that are restricted, unsupported, or considered unacceptable under this Policy, and for which the Company does not provide Services.

"Applicable Laws" means the laws and regulations of the United Kingdom, together with any relevant international legal or regulatory standards that may be taken into account when assessing whether the Services can be lawfully provided.

"Translators" means independent individuals or entities engaged by the Company to perform translation or related linguistic services, and corresponds to the term "Service Performers" as defined in the Terms and Conditions.

3. Acceptable Use Examples

Clients may use the Platform and Services only for lawful purposes, in good faith, and in a way that aligns with the intended use of the platform. The Services are designed to support the processing of text, documents, and other materials for translation and related language services, including editing, proofreading, transcription, and subtitling.

Permitted use includes submitting content for informational, educational, commercial, creative, or internal business purposes. This covers typical use cases such as website content, marketing materials, internal documents, presentations, and academic support materials.

Any outputs provided by the Company may be used by Clients for their own purposes, including publication or distribution, provided that such use does not imply certification, notarisation, legal validity, or any form of official recognition, unless this has been explicitly agreed with the Company in advance. The Company does not assume responsibility for how the outputs are used outside the scope of the Services.

Clients may also interact with the Company for operational purposes, including placing orders, providing instructions, clarifying requirements, requesting revisions within agreed terms, resolving service-related issues, or obtaining information about the Services.

Clients remain fully responsible for any content submitted through the Platform. By submitting content, Clients confirm that they have the necessary rights, permissions, and lawful basis to provide such materials for processing. This includes ensuring that the content does not infringe intellectual property rights, confidentiality obligations, or applicable laws.

The Company does not verify the legality, accuracy, or ownership of submitted materials. All content is processed strictly for the purpose of delivering the requested Services and is not used outside this scope.

4. Prohibited Technical and Behavioural Use

Clients must use the Platform and Services in a manner that does not disrupt, interfere with, or negatively affect the normal operation, stability, or security of the system. Any use that may degrade performance or compromise the integrity of the platform is not permitted.

Automated access to the Platform, including the use of bots, scripts, crawlers, scrapers, or similar tools, is not allowed without the Company's prior written approval. Unauthorised automation or bulk interaction with the Services is considered a violation of this Policy.

Clients must not attempt to bypass or interfere with any technical or security controls implemented by the Company. This includes, but is not limited to, attempts to test vulnerabilities, scan systems, reverse engineer functionality, circumvent access controls, or override usage limits. Any attempt to gain unauthorised access to accounts, systems, or data is strictly prohibited.

The Platform must not be used to upload, store, or transmit malicious code, including viruses, malware, or corrupted files. Any activity intended to damage, disrupt, or impair the platform, third-party systems, or user devices is not permitted.

Clients must not misuse platform features in a way that creates artificial load, reduces service availability, or results in non-genuine or abusive activity. This includes excessive or automated submissions, spam behaviour, phishing attempts, misuse of communication channels, or any activity that does not reflect legitimate use of the Services.

Any use that may compromise data security, infringe privacy rights, enable unauthorised data collection, or expose the Company to legal, operational, or reputational risk is strictly prohibited.

This Policy forms an integral part of the Terms and Conditions. Any breach may result in refusal of service, restriction, suspension, or termination of access, as well as other appropriate contractual measures. The Company may apply proportionate monitoring of usage to ensure compliance with this Policy and to protect the platform. Where required or permitted by law, further action may be taken in response to violations.

This Policy is based on the legal framework of the United Kingdom, as well as generally accepted international standards that apply to the lawful provision of commercial services. It reflects the Company's responsibility to ensure that the Services are not used in a way that may create legal, contractual, or reputational exposure.

Certain categories of activity are restricted or prohibited under UK law and widely recognised international principles. These include, among others, activities linked to criminal conduct, fraud, sanctions violations, terrorism-related matters, human exploitation, or similar high-risk areas. These restrictions define the boundaries within which the Company is able to provide the Services.

When assessing whether the Services can be provided in a specific case, the Company may refer to publicly available legal frameworks, guidance, and standards related to such activities. These references are used solely to evaluate risk and determine whether a particular use of the Services is acceptable under this Policy.

This Policy is not intended to function as a regulatory compliance framework. Instead, it establishes the contractual and operational limits of the Services. The Company reserves the right to refuse, limit, suspend, or terminate access where the use of the Services may conflict with applicable law or with the Company's internal risk standards and business requirements.

6. Restricted Uses of the Services

The Company does not provide the Services in situations where the intended use, business activity, or declared purpose creates an unacceptable level of legal, contractual, or reputational risk. The restrictions set out in this section are applied as part of service eligibility assessment and internal risk management and do not represent a regulatory or financial crime framework.

The Services must not be used in connection with activities involving controlled substances, weapons, ammunition, explosives, or similar regulated items. The same applies to any form of human exploitation, including escort services, unlawful labour practices, or human trafficking.

Use of the Services for misleading or abusive purposes is not permitted. This includes involvement in fraudulent or high-risk investment schemes, pyramid structures, or other arrangements designed to mislead participants or create unrealistic expectations. The Company does not support activities related to counterfeit goods, unauthorised software, unlawfully obtained property, or any form of intellectual property infringement, including copyright violations, trademark misuse, or plagiarism. The promotion or support of violence, hatred, extremism, or terrorism is also strictly prohibited.

The Services must not be used to facilitate unlawful online activities, including the operation or support of illegal platforms or tools that enable unauthorised access to systems or data. Any connection to fraud, identity misuse, or other deceptive practices is not permitted.

Clients must ensure that any materials submitted to the Company are provided lawfully. This includes personal data of third parties, confidential information, or commercially sensitive materials. Submission of such content without the necessary rights, permissions, or legal basis is prohibited.

Any use involving exploitation of minors, non-consensual content, or coercive or harmful explicit material is strictly prohibited. The Company may also refuse to provide the Services where the client lacks genuine business purpose or where the intended use presents an increased risk of unlawful or misleading activity.

Engagement in any of the above activities may result in refusal of service, restriction, or termination of access in accordance with this Policy and the Terms and Conditions.

7. Assessment of Service Eligibility

The Company applies limited and proportionate checks to determine whether the intended use of the Services falls within the scope of the platform and complies with this Policy. These checks are carried out for contractual eligibility and internal risk management purposes only, with the aim of reducing legal, operational, and reputational exposure.

As part of this process, Clients may be asked to provide a general description of how the Services will be used. Where Services are requested by or on behalf of a business, the Company may review publicly available information, such as websites or other accessible sources, to confirm that the declared activity is consistent with the nature of the Services. Where such information is not available or is unclear, the Company may request limited additional clarification to complete this assessment.

For the avoidance of doubt, this assessment does not involve the collection or processing of payment card data, credentials, or transaction-level financial information. The Company does not store or have access to cardholder data. All payments are processed by independent third-party payment service providers in accordance with the Terms and Conditions.

The Company does not carry out regulated due diligence, identity verification, or transaction monitoring. The checks described in this section do not constitute KYC, AML procedures, or any form of regulated financial compliance activity.

Where the information provided by the Client is incomplete, inconsistent, or appears misleading, or where the intended use falls within restricted or prohibited categories, the Company reserves the right, at its discretion, to refuse the provision of Services or to apply restrictions, suspension, or termination of access in accordance with this Policy and the Terms and Conditions.

8. Company Rights and Termination

The Company reserves the right to refuse to provide the Services where the intended use, declared purpose, or information provided by the Client indicates that such use may conflict with this Policy, the Terms and Conditions, or applicable law.

The Company may, at its discretion, restrict, suspend, or terminate access to the Services where prohibited use is identified, or where the Client provides information that is inaccurate, incomplete, or misleading. This right applies both at the onboarding stage and during ongoing use of the Services, including cases where concerns arise after access has already been granted.

Access to the Services may also be limited or withdrawn where a Client fails to provide reasonable clarification or supporting information when requested as part of service eligibility assessment.

Where required by law, or where necessary to protect the Company from legal, contractual, or reputational risk, the Company may disclose relevant information to competent authorities or other authorised parties. Such disclosure may be made without prior notice where notification is not required or could compromise the purpose of the disclosure.

All actions taken under this Policy are governed by the Terms and Conditions. To the extent permitted by law, the Company shall not be liable for any loss, damage, or disruption resulting from actions taken in good faith and within its contractual rights. The Company is not obliged to provide detailed reasons for any refusal, restriction, or termination of access.

9. Recordkeeping and Internal Review

The Company maintains internal records in connection with the application of this Policy and the assessment of client activity. These records are used for operational control, consistency of decision-making, and internal risk management. They may include information provided by Clients, internal notes, and outcomes of decisions taken under this Policy.

Such records are retained only for as long as necessary to support operational, contractual, and risk-related purposes, and are not kept longer than required under applicable law or legitimate business needs. All records are stored in a secure environment, with access restricted to authorised personnel on a need-to-know basis.

The Company performs periodic internal reviews of this Policy and how it is applied in practice. The purpose of these reviews is to ensure that the Policy remains aligned with the nature of the Services and the Company's risk profile. Where issues or inconsistencies are identified, they are documented and addressed within a reasonable timeframe under appropriate internal oversight.

These internal reviews are conducted for operational purposes only and do not represent regulatory audits or formal compliance inspections. Information may be disclosed to competent authorities or contractual partners only where required by law, contractual obligations, or a valid legal request.
